
Booking Terms & Conditions
The terms that apply when a traveller enquires, accepts a quotation or confirms a booking with SA Travelcations.
These terms explain how a booking is confirmed, what you pay and when, and what each of us is responsible for — so there are no surprises between the enquiry and the airport pickup.
Acceptance of These Terms
These Booking Terms and Conditions apply to bookings made with SA Travelcations. By accepting a quotation, paying an itinerary fee, paying a deposit or balance, or otherwise confirming a booking in writing, the customer confirms that they have read and accepted these Terms.
A person booking for others confirms that they are authorised to act for them and will communicate these Terms to all travellers.
Our Role
SA Travelcations designs, arranges and coordinates Cape Town travel experiences. Services may include accommodation, airport transfers, transport, tours, activities, cruises, wine experiences and itinerary planning.
Many services are delivered by independent third-party suppliers under their own operating and cancellation terms.
Enquiries and Booking Confirmation
An enquiry, proposal, availability check or quotation is not a confirmed booking. A booking is confirmed only when:
- 01The customer accepts the final written quotation or proposal;
- 02The required payment has been received and cleared;
- 03Required traveller details have been provided; and
- 04SA Travelcations issues written booking confirmation.
Prices and availability may change until confirmation. A payment does not secure a service where the payment is late, insufficient, reversed or cannot be linked to the booking.
Prices and Quotations
Advertised prices are starting prices unless expressly stated otherwise. Final pricing may depend on travel dates, season, number of travellers, room configuration, supplier availability, selected activities, transport requirements, taxes, currency movements and customisation.
Quotations are valid only for the period stated and may be revised if supplier prices or availability change before confirmation.
Inclusions and Exclusions
The final quotation and booking confirmation define what is included. Unless expressly stated, packages exclude flights, lunch, dinner, personal spending, travel insurance, visas, immigration costs, optional activities and services not listed.
Customers should not assume that a service is included merely because it appeared in marketing material or an earlier draft.
Deposit and Payment
- Unless otherwise stated, a 50% deposit is required to secure a booking.
- The balance must be paid by the deadline shown on the quotation or invoice.
- Some suppliers require a larger deposit, full prepayment or a different deadline. The customer will be informed where this applies.
- Flexible payment arrangements may be agreed in writing for selected advance bookings.
- All bank, card, foreign-exchange or transfer costs charged to the customer remain the customer's responsibility unless stated otherwise.
- Failure to pay on time may result in release or cancellation of services, subject to applicable law and the circumstances.
Custom Itinerary Planning Fee
A R250 planning fee applies where SA Travelcations is asked to research and prepare a detailed customised itinerary. The fee must be paid before detailed planning begins. It is credited to the relevant booking if the customer proceeds through SA Travelcations.
Once the planning service has been substantially performed, the fee is generally non-refundable if the customer chooses not to book, subject to applicable law.
Group Bookings and Discounts
Groups of more than five travellers may qualify for a 5% discount where expressly offered. Any discount must be confirmed in writing, applies only to the qualifying elements of the quotation and may not be combined with another promotion unless agreed.
The lead traveller is the main contact and is responsible for coordinating information and payment with the group unless otherwise agreed.
Promo and Referral Codes
Promo or referral codes should be supplied during the enquiry or quotation stage. A code does not guarantee a discount unless a customer benefit is expressly attached to it, and it may not be applied retrospectively. Ambassador commission arrangements are separate from the customer's booking contract.
Customer Responsibilities
- Provide complete and accurate names, contact details, ages and travel information.
- Review the quotation, dates, room configuration, names and inclusions before confirming.
- Pay all amounts by the required deadlines.
- Obtain valid passports, visas, permits, health documents and other entry requirements.
- Obtain suitable travel insurance.
- Disclose accessibility, mobility, dietary or practical requirements early enough for us to assist.
- Arrive on time and follow lawful supplier, accommodation and safety rules.
- Ensure all travellers understand the itinerary, risks and applicable supplier terms.
Passports, Visas and Immigration
Unless expressly agreed, SA Travelcations does not obtain passports, visas, work permissions, transit permissions, vaccination certificates or immigration approvals. Requirements can differ by nationality and itinerary, and customers remain responsible for confirming and meeting them.
Travel Insurance
Customers are strongly encouraged to obtain comprehensive insurance covering cancellation, medical emergencies, delays, missed services, belongings and any activities they intend to undertake. SA Travelcations is not an insurer and cannot confirm whether a loss is covered by a policy.
Children and Minors
A parent, guardian or authorised adult must provide information and consent for a minor. Minors must be supervised by a responsible adult unless a service expressly provides otherwise. Age, height, weight or other restrictions may apply to particular activities.
Health, Accessibility and Special Requirements
Customers should disclose requirements that may affect transport, accommodation or participation. We will make reasonable efforts to identify suitable options but cannot guarantee that every supplier, vehicle or attraction is accessible or suitable for every traveller. Suppliers may determine whether participation is safe.
Activities, Risk and Conduct
Some activities involve inherent risk and may require a separate supplier waiver. Travellers must follow safety instructions, use required equipment and behave lawfully and respectfully.
A supplier may refuse or end participation where conduct creates a safety risk, materially disrupts others or breaches rules. Nothing in these Terms excludes liability that cannot lawfully be excluded.
Third-Party Suppliers
Independent hotels, transport providers, guides, tour operators and activity providers may impose their own check-in rules, safety standards, age restrictions and cancellation conditions.
SA Travelcations will use reasonable care when arranging services, but performance by an independent supplier may be affected by matters beyond our reasonable control. Customer rights that cannot lawfully be excluded remain unaffected.
Customer-Requested Changes
Requests to change dates, names, traveller numbers, accommodation, activities, transport or inclusions must be made promptly in writing. Changes are subject to availability, supplier approval, revised pricing, administration costs and supplier charges. A requested change is not confirmed until accepted in writing and any required payment has cleared.
Operational and Itinerary Changes
Weather, safety concerns, attraction closures, transport disruption, supplier availability and operational needs may require changes. Where reasonably possible, we will communicate material changes and offer a suitable alternative, rescheduling, credit or refund as applicable to the circumstances and supplier terms.
Delays, Late Arrival and No-Shows
Travellers are responsible for being ready at confirmed times and locations. A missed or shortened service caused by a traveller's late arrival or absence may be non-refundable where the supplier charges for it or the booking cannot reasonably be recovered. Additional transport or rebooking costs are for the customer unless otherwise agreed.
Complaints and Assistance During Travel
A traveller should report a problem as soon as reasonably possible so that SA Travelcations or the supplier has an opportunity to assist. Complaints should include the booking name, service, date, facts and preferred resolution. Delayed reporting may limit the practical remedies available.
Electronic Communications
The parties agree that quotations, acceptances, invoices, booking confirmations and notices may be exchanged electronically, including by email and official WhatsApp communication. The customer must keep contact details current and review messages sent in relation to the booking.
Privacy
Personal information is processed in accordance with the SA Travelcations Privacy Policy and may be shared with relevant suppliers to deliver the booking.
Governing Law and Consumer Rights
These Terms are governed by the laws of the Republic of South Africa. Nothing in these Terms removes or limits any consumer right or remedy that cannot lawfully be excluded, including applicable rights under the Consumer Protection Act 68 of 2008.
Severability and Entire Agreement
If a provision is found unenforceable, the remaining provisions continue to apply to the extent permitted by law. The final quotation, booking confirmation, these Terms, the Cancellation Policy and any incorporated supplier terms form the booking agreement.
A change is valid only when confirmed in writing by an authorised SA Travelcations representative.
